Why we write this guide
The Events Bali blog is not about marketing, but practice. We have lived on the island for 8 years, hosted 300+ events, and know Bali from the inside: which beaches are empty in the morning, where the sunset meets the water, when flights are cheaper, and what documents are required. Each guide is based on real experience, not a TripAdvisor retelling.
We update articles regularly: prices — quarterly, visas and documents — when changes occur. If you find something outdated, write to us on WhatsApp, and we will check and fix it. If you want an event in Bali, we will calculate the budget list in 1 day after a 15-minute brief.

Practical tips from the Events Bali team
This guide is not a TripAdvisor retelling, but the practice of 8 years of working in Bali. We live on the island, host events weekly, and know how everything works here: from traffic jams on the road to the best time for a sunset shoot. Below are answers to frequent questions asked by couples and companies before the trip.

How to prepare for an event in Bali
Preparation depends on the event type and number of guests. For a wedding with guests, allocate 3-6 months: venue selection, bookings, visas, and flight. For a proposal — 5-7 days. For a corporate event — 1-3 months. The earlier we start, the more choices we have and the lower the prices.
Preparation checklist: define the date and number of guests, choose the format (wedding, proposal, corporate event), agree on the budget, prepare documents (passports valid for 6+ months), book flights and accommodation, and obtain e-VOA visas. The rest is on us.
Budget: what to pay attention to
The event budget in Bali consists of five items: venue (15-25%), decor (15-20%), catering (25-30%), photo/video (15-20%), coordination and vendors (10-15%). Hidden expenses: transfers, gratuities, venue taxes, and a backup plan. In detail in the guidehow much does a wedding in Bali cost.
How to save money without losing quality: green season (prices are 20-30% lower), weekday instead of weekend, reducing decor to key accents, video teaser instead of a full film. The main factor in the budget list is the number of guests: each guest adds $50-90 to catering.
Seasons and weather
Dry season (April–October) — stable weather, sunsets without rain, high occupancy and prices. Green season (November–March) — lower prices, nature is greener, rains are usually short (1–2 hours in the evening). The best months are May, June, September: weather is stable, occupancy is lower than peak. In detail —seasons and weather.
For any season — a backup plan. The villa has a covered terrace, the beach has a canopy or relocation to a resort. Relocation is free, timeline is adjusted in 20 minutes. Weather in Bali rarely ruins an event — it just changes the scenery.
Logistics and transport
Bali is a 12-15 hour flight from Moscow, +5 hours time difference. For a group: group transfer (minivan or bus), coordinator at the airport, room block at a resort. Between areas: Canggu→Uluwatu 50-70 min, Canggu→Ubud 60-90 min. In detail —transport in Bali.
We recommend 2-3 days before the event for guests to acclimate. A welcome dinner on the evening of arrival is a good reason to gather everyone together. After the event — a rest day and departure. The schedule of activities is on the coordinator.
Visas and documents
Citizens of the Russian Federation and CIS need a visa to Bali. Two options: visa on arrival (VOA, $35, 30 days) and electronic e-VOA (applied of beforehand online). Extension is another 30 days through the immigration office. For the event: passports valid for 6+ months, return ticket, proof of accommodation. In detail —visa and documents.
For official marriage registration — additional documents: birth certificate, certificate of single status, and religious ceremony. We assist all the way from documents to apostille. Most couples choose a symbolic ceremony — without the paperwork.
Safety and Health
Bali is a safe island for tourists. Basic measures: bottled drinking water, sunscreen (SPF 50+), repellent in the jungle, insurance with coverage from $30,000. First aid kit is with the coordinator at every event. Medicine: international clinics in Denpasar and Canggu.
For guests with children: fenced playgrounds, lifeguards by the pool, a coordinator monitors children throughout the celebration. For non-mobile guests: venues with an elevator or ramp.

Practical tips
Over 8 years of working in Bali, we have gathered dozens of practical observations that cannot be found in guidebooks. We share what really works — without the tourist gloss and promotional exaggeration. These tips will save you time, money, and nerves when planning an event on the island.
Typical planning mistakes
- Underestimating logistics time — traffic jams occur in Bali, allow +30% to travel time
- Ignoring the green season — rains are short, but without a backup plan, the event is at risk
- Overloading the program — too many activities in one day tires guests
- Saving on a coordinator — without one, you will be working on your event day instead of celebrating
- Choosing a location based on photos rather than scouting — reality often differs from renders
- Insufficient budget for decor — decor sets the mood more than the venue
Pre-travel checklist
- Passport (6+ months), return ticket, insurance from $30,000
- e-VOA visa arranged in advance (saves queue time at the airport)
- Accommodation and airport transfer booking
- Agreed budget and contract signed with the agency
- Light clothing made of natural fabrics, SPF 50+, repellent
- Power adapter (type C/F, 230V)
- First aid kit: painkiller, upset stomach medication, band-aids
Budget: what to look out for
An event budget in Bali consists of five parts: venue (15–25% of estimate), decor (15–20%), catering (25–30%), shooting (15–20%), coordination and vendors (10–15%). Hidden costs: transfers, tips (5–10%), venue taxes (5–21%), backup plan. Allow a 10% reserve for contingencies.
How to save without losing quality: green season (−20–30% on prices), weekday (10–15% venue discounts), fewer guests (the main cost in the estimate is catering $50–90/guest), video teaser instead of a full film, decor accents instead of complete styling.
