How to prepare for an event in Bali

Preparation depends on the type of event and the number of guests. For a wedding with guests, allow 3–6 months: venue choice, bookings, visas, flight. For a proposal — 5–7 days. For a corporate event — 1–3 months. The earlier we start, the greater the choice and the lower the prices.

How to save without losing quality: green season (prices are 20–30% lower), weekdays instead of weekends, reducing decor to accents, and a video teaser instead of a full movie. The main cost driver in the estimate is the number of guests: each guest adds $50–90 to catering.

Seasons and weather

The dry season (April–October) offers stable weather, rainless sunsets, high occupancy, and premium prices. The green season (November–March) features lower prices, lusher green nature, and rains that are usually short (1–2 hours in the evening). For any season — a backup plan. On a villa, there is a covered terrace; on a beach, a canopy or a transfer to a resort. The transfer is free, and the timeline is adjusted in 20 minutes. Weather in Bali rarely ruins an event — it just changes the backdrop.

Logistics and transport

Bali is a 12–15 hour flight from Moscow, with a +5 hours time difference. For groups: group transfer (minivan or bus), a coordinator at the airport, and a room block at the resort. Between districts: Canggu → Uluwatu is 50–70 min, Canggu → Ubud is 60–90 min. Read more intransport in Bali.

We recommend guests arrive 2–3 days before the event to acclimatize. A welcome dinner on the evening of arrival is a great way to bring everyone together. After the event — a recovery day and departure. The activity schedule is handled by the coordinator.

Visas and documents

Citizens of the Russian Federation and CIS need a visa for Bali. Two options: visa on arrival (VOA, $35, 30 days) and electronic e-VOA (applied for online in advance). Safety and health

Bali is a safe island for tourists. Basic precautions: bottled drinking water, sunscreen (SPF 50+), insect repellent in the jungle, and insurance with coverage starting from $30,000. A first aid kit is with the coordinator at every event. Medicine — international clinics in Denpasar and Canggu.

For guests with children: fenced play areas, lifeguards at the pool, and a coordinator supervising kids throughout the celebration. For guests with limited mobility — venues equipped with elevators or ramps.
