Why we are writing this guide

Events Bali blog is not marketing, but practice. We have been living on the island for 8 years, hosted 300+ events and know Bali from the inside: which beaches empty out in the morning, where the sunset goes down into the water, when flights are cheaper and what documents are required. Every guide is based on real experience, not a TripAdvisor retelling.

We update articles regularly: prices once a quarter, visas and documents as changes occur. If you spot anything outdated, please write to us on WhatsApp, we will check and fix it. If you want an event in Bali, we will calculate the estimate in 1 day after a 15-minute brief.

How to prepare for an event in Bali

Preparation depends on the event type and the number of guests. For a wedding with guests, plan for 3–6 months: location selection, bookings, visas, flights. For a proposal — 5–7 days. For a corporate event — 1–3 months. The earlier we start, the larger the selection and the lower the prices.

Preparation checklist: define the date and number of guests, choose the format (wedding, proposal, corporate), agree on a budget, prepare documents (passports valid for 6+ months), book flights and accommodation, apply for e-VOA visas. We take care of the rest.

Budget: what to pay attention to

An event budget in Bali consists of five items: location (15–25%), decor (15–20%), catering (25–30%), shooting (15–20%), coordination and vendors (10–15%). Hidden costs: transfers, tips, venue taxes, backup plan. Read more in the guidehow much does a wedding in Bali cost.

How to save money without losing quality: green season (20–30% lower prices), weekdays instead of weekends, reducing decor to accents, video teaser instead of a full-length movie. The main thing in the budget is the number of guests: every guest adds $50–90 to catering.

Seasons and weather

Dry season (April–October) — stable weather, sunsets without rain, high occupancy and prices. Green season (November–March) — lower prices, nature is greener, rains are usually short (1–2 hours in the evening). The best months are May, June, September: weather is stable, booking is below peak. More details in —seasons and weather.

Have a backup plan for any season. We use a covered terrace at the villa, and a canopy on the beach or a relocation to the resort. Relocation is free, timeline is adjusted in 20 minutes. Weather in Bali rarely ruins an event — it just changes the decorations.

Logistics and transport

Bali is a 12–15 hour flight from Moscow, +5 hours time difference. For a group: group transfer (minivan or bus), coordinator at the airport, room block in a resort. Between districts: Canggu→Uluwatu 50–70 min, Canggu→Ubud 60–90 min. More details in —transport in Bali.

We recommend 2–3 days for guests before the event to acclimatize. A welcome dinner on the evening of arrival is a good reason to bring everyone together. After the event — a rest day and departure. The coordinator manages the activities schedule.

Visas and documents

Citizens of the Russian Federation and the CIS need a visa to Bali. Two options: Visa on Arrival (VOA, $35, 30 days) and electronic e-VOA (applied for online in advance). Extension is another 30 days through the immigration office. For the event: passports valid for 6+ months, a return ticket, proof of accommodation. Read more —visa and documents.

For official marriage registration, additional documents are required: birth certificate, certificate of marital status, religious ceremony. We assist from documents to apostille. Most couples choose a symbolic ceremony — no paperwork hassle.

Safety and health

Bali is a safe island for tourists. Basic measures: bottled drinking water, sunscreen (SPF 50+), repellent in the jungle, insurance coverage from $30,000. First aid kit is with the coordinator at every event. Medicine — international clinics in Denpasar and Canggu.

For guests with children: fenced playgrounds, lifeguards by the pool, and a coordinator to watch the kids throughout the celebration. For non-mobile guests — venues with an elevator or ramp.

What to take with you

  • Passport (6+ months), return ticket, insurance
  • Light clothing made of natural fabrics, swimwear, hat
  • Sunscreen SPF 50+, repellent
  • Comfortable shoes (sandals for the beach, sneakers for the jungle)
  • Power adapter (type C/F, 230V)
  • First aid kit: painkiller, stomach medicine, band-aids

Practical tips

Over 8 years of work in Bali, we have gathered dozens of practical observations that cannot be found in guidebooks. We share what really works — without tourist gloss and commercial exaggeration. These tips will save you time, money, and nerves when planning an event on the island.

Typical mistakes when planning

  • Underestimating travel time — traffic jams do happen in Bali, add +30% to travel time
  • Ignoring the green season — rains are short, but without a backup plan, the event is in jeopardy
  • Overloading the program — too many activities in one day tires out the guests
  • Saving money on a coordinator — without one, you will be working instead of celebrating on the event day
  • Choosing a venue based on photos rather than scouting — reality is often different from renders
  • Insufficient budget for decor — decor sets the mood much more than the venue venue

Checklist before the trip

  • Passport (6+ months), return ticket, insurance from $30,000
  • e-VOA visa arranged in advance (saves time negotiating airport queues)
  • Accommodation and airport transfer booking
  • Approved budget estimation and agreement with the agency
  • Light clothing made of natural fabrics, SPF 50+, repellent
  • Power adapter (type C/F, 230V)
  • First aid kit: painkiller, stomach medicine, band-aids

Budget: what to pay attention to

The budget of a Bali event consists of five items: venue (15–25% of the estimate), decor (15–20%), catering (25–30%), shooting (15–20%), coordination and vendors (10–15%). Hidden costs: transfers, tips (5–10%), venue taxes (5–21%), backup plan. Estimate a 10% reserve for contingency.

How to save money without losing quality: green season (−20–30% on prices), weeding on weekdays (venue discounts 10–15%), fewer guests (the main cost in the estimate is catering $50–90/guest), video teaser instead of a full movie, decor accents instead of full decoration.
