Как выбрать свадебное агентство на Бали

How to choose a wedding agency in Bali

Checklist of 10 questions, red flags, contract, and prepayment.

Choosing an agency in Bali is critical: you are trusting them with your main day. This guide contains a checklist of questions and red flags.

Checklist of 10 questions

  1. Do you live in Bali or work remotely?
  2. How many weddings have you organized in a year?
  3. Show real cases with budgets.
  4. Do you have your own team or contractors?
  5. What is included in the estimate, and what requires extra payment?
  6. What is the backup plan in case of rain?
  7. Do you provide a contract and closing documents?
  8. How is payment made: prepayment, currency, refund?
  9. Who manages the schedule on the wedding day?
  10. Can I speak to your past clients?

Red flags

  • No real cases — only 'portfolio' from stock photos.
  • No contract or closing documents provided.
  • An 'all-inclusive' estimate without breakdown by items.
  • No backup plan for weather.
  • 100% prepayment with no possibility of rescheduling.

Contract and prepayment

A contract is mandatory, with a breakdown by items and deadlines. Prepayment of 30-50%, the balance due 14 days before. Refund in case of force majeure — according to the contract. Seeabout the company.

Why we are writing this guide

Events Bali blog is not marketing, but practice. We have been living on the island for 8 years, hosted 300+ events, and know Bali from the inside: which beaches empty in the morning, where the sunset dips into the water, when it's cheaper to fly, and what documents are needed. Each guide is based on real experience, not a TripAdvisor retelling.

We update articles regularly: prices once a quarter, visas and documents in case of changes. If you find something outdated, write to us on WhatsApp, we will check and fix it. If you want an event in Bali, we will calculate the estimate in 1 day after a 15-minute brief.

Practical tips from the Events Bali team

This guide is not a retelling of TripAdvisor, but the practice of 8 years of work in Bali. We live on the island, hold events weekly, and know how everything works here: from traffic jams to the best time for a sunset shoot. Below are answers to frequent questions asked by couples and companies before the trip.

If you didn't find the answer, write to us on WhatsApp, we will answer within an hour. If you are planning an event, we will calculate the estimate in 1 day after a 15-minute brief. The consultation is free and imposes no obligations.

How to prepare for an event in Bali

Preparation depends on the type of event and the number of guests. For a wedding with guests, allow 3–6 months: location selection, reservations, visas, flight. For a proposal — 5–7 days. For a corporate event — 1–3 months. The earlier we start, the larger the choice and the lower the prices.

Preparation checklist: determine the date and number of guests, choose the format (wedding, proposal, corporate event), coordinate the budget, prepare documents (passports 6+ months), book flights and accommodation, apply for e-VOA visas. The rest is on us.

Budget: what to pay attention to

The budget of an event in Bali consists of five categories: location (15–25%), decor (15–20%), catering (25–30%), shooting (15–20%), coordination and vendors (10–15%). Hidden costs: transfers, tips, venue taxes, backup plan. In detail — in the guidehow much does a wedding in Bali cost.

How to save without losing quality: green season (prices lower by 20–30%), weekday instead of weekend, reduction of decor to accents, video teaser instead of a full movie. The main thing in the estimate is the number of guests: each guest adds $50–90 to the catering.

Seasons and weather

Dry season (April–October) — stable weather, sunsets without rain, high occupancy and prices. Green season (November–March) — lower prices, greener nature, rains are usually short (1–2 hours in the evening). The best months are May, June, September: the weather is stable, occupancy is below the peak. More details —seasons and weather.

For any season — a backup plan. The villa has a covered terrace, the beach has a canopy or transfer to a resort. The transfer is free, the timeline is adjusted in 20 minutes. Weather in Bali rarely spoils an event — it just changes the scenery.

Logistics and transport

Bali is a 12–15 hour flight from Moscow, +5 hours difference. For a group: group transfer (minivan or bus), coordinator at the airport, block of rooms in a resort. Between districts: Canggu→Uluwatu 50–70 min, Canggu→Ubud 60–90 min. More details —transport in Bali.

For guests, we recommend 2–3 days before the event for acclimatization. A welcome dinner on the evening of arrival is a good reason to gather everyone. After the event — a day of recovery and departure. The schedule of activities is on the coordinator.

Visas and documents

Citizens of the Russian Federation and CIS need a visa to Bali. Two options: visa on arrival (VOA, $35, 30 days) and electronic e-VOA (applied for in advance online). Extension — another 30 days through the immigration office. For the event: passports 6+ months, return ticket, confirmation of accommodation. More details —visa and documents.

For official marriage registration — additional documents: birth certificate, certificate of marital status, religious ceremony. We guide you from documents to apostille. Most couples choose a symbolic ceremony — without paper red tape.

Safety and health

Bali is a safe island for tourists. Basic measures: bottled drinking water, sunscreen (SPF 50+), repellent in the jungle, insurance with coverage from $30,000. First aid kit — with the coordinator at every event. Medicine — international clinics in Denpasar and Canggu.

For guests with children: fenced play areas, lifeguards at the pool, the coordinator looks after the children throughout the holiday. For guests with limited mobility — venues with an elevator or a ramp.

What to bring with you

  • Passport (6+ months), return ticket, insurance
  • Light clothing made of natural fabrics, swimsuit, headwear
  • Sunscreen SPF 50+, repellent
  • Comfortable shoes (sandals for the beach, sneakers for the jungle)
  • Power adapter (type C/F, 230V)
  • First aid kit: pain reliever, stomach upset remedies, band-aids
