Why we write this guide

The Events Bali blog is not marketing, but practice. We have been living on the island for 8 years, hosted 300+ events, and know Bali from the inside: which beaches are empty in the morning, where the sunset dips directly into the water, when flights are cheaper, and what documents are required. Every guide is based on real experience, not a TripAdvisor recount.

We update articles regularly: prices once a quarter, visas and documents when changes occur. If you find something outdated, write to us on WhatsApp, and we will check and fix it. If you want an event in Bali, we will calculate the estimate in 1 day after a 15-minute brief.

Practical tips from the Events Bali team

We live on the island, host events weekly, and know how everything works here: from traffic jams on the road to the best time for a sunset shoot. Below are answers to frequent questions asked by couples and companies before their trip.

How to prepare for an event in Bali

Preparation depends on the type of event and number of guests. For a wedding with guests, plan for 3–6 months: choosing a location, bookings, visas, flights. For a proposal — 5–7 days. For a corporate event — 1–3 months. The earlier we start, the wider the choice and the lower the prices.

Preparation checklist: determine the date and number of guests, choose the format (wedding, proposal, corporate event), agree on the budget, prepare documents (passports valid for 6+ months), book flights and accommodation, issue e-VOA visas. The rest is on us.

Budget: what to pay attention to

An event budget in Bali consists of five items: location (15–25%), decor (15–20%), catering (25–30%), shooting (15–20%), coordination and contractors (10–15%). Hidden costs: transfers, tips, venue taxes, backup plan. Detailed info is in the guidehow much does a wedding in Bali cost.

How to save money without losing quality: green season (prices lower by 20–30%), weekday instead of weekend, reducing decor to accents, video teaser instead of a full movie. The main thing in the estimate is the number of guests: each guest adds $50–90 to catering.

Seasons and weather

Dry season (April–October) — stable weather, sunsets without rain, high occupancy and prices. Green season (November–March) — lower prices, greener nature, rains are usually short (1–2 hours in the evening). The best months are May, June, September: stable weather, occupancy is below peak. Read more inseasons and weather.

For any season, there is a backup plan. A villa has a covered terrace, a beach has a canopy, or we transfer to a resort. Transfer is free, and the timeline is adjusted in 20 minutes. Weather in Bali rarely ruins an event — it simply changes the scenery.

Logistics and transport

Bali is a 12–15 hour flight from Moscow, with a +5 hours time difference. For a group: group transfer (minivan or bus), coordinator at the airport, block of rooms in a resort. Between districts: Canggu→Uluwatu 50–70 min, Canggu→Ubud 60–90 min. Read more intransport in Bali.

For guests, we recommend 2–3 days before the event for acclimatization. A welcome dinner on the arrival evening is a good reason to gather everyone. After the event — a recovery day and departure. The activity schedule is managed by the coordinator.

Visas and documents

Citizens of the Russian Federation and CIS need a visa for Bali. Two options: visa on arrival (VOA, $35, 30 days) and electronic e-VOA (processed online in advance). Extension — another 30 days through the immigration office. For the event: passports valid for 6+ months, return ticket, proof of accommodation. Read more invisa and documents.

For official marriage registration, additional documents are needed: birth certificate, certificate of marital status, religious ceremony. We assist from documents to apostille. Most couples choose a symbolic ceremony — without the paper hassle.

Safety and health

Bali is a safe island for tourists. Basic measures: bottled drinking water, sunscreen (SPF 50+), repellent in the jungle, insurance with coverage from $30,000. First aid kit is with the coordinator at every event. Medicine — international clinics in Denpasar and Canggu.

For guests with children: playgrounds with fencing, lifeguards at the pool, coordinator monitors children throughout the celebration. For guests with limited mobility — venues with an elevator or ramp.

What to bring with you

  • Passport (6+ months), return ticket, insurance
  • Light clothing made of natural fabrics, swimsuit, headwear
  • Sunscreen SPF 50+, repellent
  • Comfortable shoes (sandals for the beach, sneakers for the jungle)
  • Power adapter (type C/F, 230V)
  • First aid kit: pain reliever, stomach upset remedies, band-aids

Practical tips

Over 8 years of working in Bali, we have gathered dozens of practical observations that cannot be found in guidebooks. We share what really works — without the tourist glossy finish and advertising exaggerations. These tips will save you time, money, and nerves when planning an event on the island.

Typical mistakes in planning

  • Underestimating travel time — traffic jams do happen in Bali, so add +30% to the travel time
  • Ignoring the green season — rains are short, but without a backup plan, the event is at risk
  • Overloading the program — too many activities in one day tires the guests
  • Saving on a coordinator — without one, on the day of the event you are working, not celebrating
  • Choosing a location based on photos instead of scouting — reality often differs from renders
  • Insufficient budget for decor — decor sets the mood more than the location

Checklist before the trip

  • Passport (6+ months validity), return ticket, insurance from $30,000
  • e-VOA visa arranged in advance (saves queue time at the airport)
  • Booking of accommodation and airport transfer
  • Approved estimate and agreement with the agency
  • Light clothing made of natural fabrics, SPF 50+, repellent
  • Power adapter (type C/F, 230V)
  • First-aid kit: painkillers, anti-diarrheal, plasters

Budget: what to pay attention to

The event budget in Bali consists of five categories: venue (15–25% of the estimate), decor (15–20%), catering (25–30%), shooting (15–20%), and coordination and vendors (10–15%). Hidden costs: transfers, tips (5–10%), venue taxes (5–21%), backup plan. Allow a reserve of 10% for contingencies.

How to save without losing quality: green season (−20–30% on prices), weeday (venue discounts of 10–15%), fewer guests (the main item in the estimate is catering $50–90/guest), teaser video instead of a full movie, accent decor instead of full decoration.
